Automated processing of all sales order related flows

As a sales organisation, you aim for a streamlined business process where the ‘perfect order’ is fulfilled: a delivery of the right products, at the right price, at the right time, and in the right place.

It helps if sales orders you receive are of good quality and can be processed in the same manner. However, different customers and sales channels introduce variations in the quality of an order and the way a sales order is submitted. Additionally, various customers and sales channels may have the power to demand specific requirements regarding how and in what format sales orders are presented.

So, on the one hand, you want to standardise operations as much as possible, and on the other hand, you want to personalise towards the customers. These goals can sometimes conflict.
However, when it comes to processing sales orders, these two strategies – standardising for efficiency and differentiating for an effective sales process focused on personal customer needs – can indeed be well combined.

Positioning standard digital order processing as personalised value-added service

Customers may have the need, for example, to handle transactions through EDI. Other customers may prefer their ordering system to be integrated with the supplier’s back office, which brings API integration techniques into play.

Sales organisations often try to resist this, wary of managing too many different order flows and employing technology to meet all these demands. Moreover, the availability of extra staff to manage this is limited in the current job market.

Maintaining the status quo is often preferred until customers start demanding changes, and then frantic efforts are made to meet those demands. These demands often result in one-off solutions and extra work for the sales support team to organise towards the backend systems.

You can turn these market developments from a challenge into an advantage. You can proactively engage with your customers and offer a differentiated approach, aligning the receipt and processing of sales orders with how the customer prefers to do business.

Our partner WCG’s solution

To this end WCG developed the integration module ‘automatic sales order processing’, which can standardise the processing of sales orders with all associated business rules to the ERP system and provide flexibility at the frontend to receive sales orders in any desired format and from any starting point.

This provides the opportunity to position digital order processing as a personalised value-added service to the customer.

7 years of practical experience in a robust integration module

WCG has been digitising and automatically processing PDF sales orders to the underlying ERP transaction system using the Dovetail integration platform for their customers since the beginning of their existence.

Now, seven years later, this integration has evolved into a full-fledged integration module to automatically process sales orders from any common digital format and starting point.

All sales orders processed automatically

The integration module for automatic sales order processing contains all the necessary intelligence and variable controls to fully process incoming sales orders digitally and automatically in the ERP transaction system. (Semi)manual processing by a sales support team or customer service department has become unnecessary.
From any source – an email inbox, file folder, or directly from an application such as a webshop or marketplace – a sales order in any desired digital format, such as PDF, XML, CSV, EDIFACT, JSON, etc., can be processed by the integration module. Notifications are emailed to the sales support team/employee. Information regarding the processing is displayed in task and dashboard views or in a ‘Digital Control Tower’.
